Jenny Field, trading as Just Being Me, provides coaching, courses, workshops, communities, online content and related services.
For the purposes of UK data protection law, Jenny Field, trading as Just Being Me, is the data controller. This means I’m responsible for deciding how and why your personal information is collected and used.

It applies when you visit my website, contact me, join an email list, book a call, buy a service, attend an event, join a course or community, work with me or interact with Just Being Me online.
The personal information I may collect
Depending on how you interact with me, I may collect:
- your name
- your email address
- your telephone number
- your billing address
- your business name
- booking and appointment details
- payment and transaction information
- information you provide on forms
- emails, messages and WhatsApp communications
- notes relating to coaching calls, sessions, courses, workshops or support
- survey answers, feedback, reviews and testimonials
- photographs, audio or video where you have agreed to this
- information about how you use my website, emails and online content
- social media usernames, comments, messages and interactions
- technical information such as your IP address, browser, device and cookie information
Payment card information is normally collected and processed directly by payment providers such as Stripe or PayPal. I don’t normally receive or store your full card details.
Sensitive personal information
During coaching, courses, calls, communities, workshops or written communication, you may choose to share information about:
- physical or mental health
- disability
- ADHD, autism, AuDHD or other forms of neurodivergence
- medication
- trauma
- abuse or toxic relationships
- emotional wellbeing
- other personal experiences
Some of this may be special category information under UK data protection law and needs additional protection.
I will only ask for or intentionally record this information when it is relevant to the service you have requested. Where required, I will ask for your explicit consent to use it.
You can withdraw your consent at any time by emailing contactjustbeingme@gmail.com. This will not affect anything that was lawfully done before you withdrew consent. Withdrawing consent may mean I’m unable to continue providing part or all of a service where the information is necessary to provide it safely and appropriately.
Please only share information that is relevant and that you feel comfortable sharing.
How I collect your information
I may collect information directly from you when you:
- complete a website or booking form
- subscribe to emails
- buy a product or service
- book or attend a call
- join a course, workshop, WhatsApp community or other group
- email or message me
- take part in coaching
- answer a questionnaire or survey
- leave a review
- interact with my social media accounts
- attend an online session or event
I may also receive limited information through service providers, including booking systems, payment providers, email platforms, website tools and social media platforms.
Why I use your information
I may use your personal information to:

- arrange calls, appointments and sessions

My lawful reasons for using your information
UK data protection law requires me to have a lawful reason for using personal information.
I may rely on the following reasons:
Contract
I use information when it is necessary to provide a service you have bought or requested. This includes managing bookings, delivering services, taking payments and communicating with you about the service.
Steps before entering a contract
I may use your information to answer questions, arrange a connection call or provide information before you decide whether to work with me.
Consent
I rely on consent where you have actively agreed to a particular use. This may include receiving marketing emails, taking part in a recording, allowing a testimonial to be published or allowing me to use special category information.
You can withdraw consent at any time.
Legal obligation
I may need to keep or use information to meet tax, accounting, data protection, safeguarding or other legal requirements.
Legitimate interests
I may use information where it is reasonably necessary to run, protect and improve my business and where this does not unfairly affect your rights.
These interests may include:

Marketing
I may send you emails about my services, events, courses, resources and other relevant information when:

- you have previously bought or asked about a similar service and the law allows me to contact you

You can unsubscribe at any time by using the unsubscribe link in an email or contacting contactjustbeingme@gmail.com.
Unsubscribing from marketing will not stop service messages that are necessary for a booking, purchase, course, community or other service you are using.
I may keep a minimal suppression record of your email address after you unsubscribe. This helps make sure you are not accidentally added back to marketing without new permission.
I mainly use GoHighLevel, provided and managed through Funnel Sketchers, for email marketing, contact management, courses, landing pages, forms and automated communications. I also keep MailerLite as a backup email marketing platform.
WhatsApp communities and support
When you join a WhatsApp group or community, other members may be able to see information connected to your WhatsApp account. Depending on the WhatsApp settings, this may include your name, profile photograph, telephone number, messages and reactions.
Please check your WhatsApp privacy settings before joining and only share information you are comfortable allowing other members to see.
Information shared in a group can be seen or copied by other members. I ask members to respect each other’s privacy, but I cannot completely control what another member does with information they can see.
Where WhatsApp is used for private coaching or support, I will treat your messages as confidential unless disclosure is required by law or there is a serious and immediate safeguarding concern.
Online sessions and recordings
I may provide services through Zoom, Google Meet, Whatsapp or Messenger.
I will tell you before intentionally recording a session. I will only record it when there is an appropriate lawful reason and any necessary consent has been obtained.
Please do not record calls, sessions, workshops or group discussions without permission from me and everyone who may be included.
Payments and financial records
Payments may be processed through providers such as Stripe, PayPal, Mettle or other payment and banking services.
These providers process information under their own privacy policies. I may receive information confirming your identity, payment amount, payment status and limited transaction details.
I use FreeAgent to manage invoices, accounts and financial records.
I’m legally required to retain some financial and transaction information for tax and accounting purposes.
Who I may share information with
I do not sell your personal information.
I may share information with trusted organisations and people who provide services needed to operate Just Being Me. These may include:
- GoHighLevel, provided and managed through Funnel Sketchers, for email marketing, contact management, courses, landing pages, forms, communications and automated systems
- MailerLite, which is kept as a backup email marketing platform
- virtual assistants who support me with administration, emails, courses, landing pages, customer management and other agreed business tasks
- Stripe and PayPal for payments
- TidyCal for bookings
- Zoom and Google Meet for online calls and events
- WhatsApp for communities, messages and support
- FreeAgent for accounting and invoices
- Mettle for business banking
- Google Drive and other Google services for documents, storage and administration
- Canva for creating content and materials
- Meta, including Facebook and Instagram
- TikTok
- YouTube
- Spotify
- Apple Podcasts
- website hosting, security, analytics and technical support providers
- professional advisers such as an accountant, solicitor, insurer or data protection adviser when necessary
My virtual assistants may have access to personal information held within Funnel Sketchers or other business systems where this is necessary for the work they carry out for me. Their access is limited to the information and systems they need to complete their agreed tasks.
Virtual assistants are required to keep personal information confidential, use it only in line with my instructions and take reasonable steps to keep it secure. They are not permitted to use your information for their own purposes.
These providers and individuals may only receive the information needed to provide their service or complete their agreed work.
I may also share information when required by law, to protect someone from serious harm, to protect my legal rights or to respond to a valid request from a court, regulator, police force or other authorised organisation.
International transfers
Some service providers may store or process information outside the UK.
Where personal information is transferred internationally, I take reasonable steps to make sure an appropriate legal safeguard is used. This may include a UK adequacy decision, approved contractual safeguards or another transfer mechanism permitted by UK data protection law.
You can contact me for more information about the safeguards used for a particular provider.
How long I keep information
I only keep personal information for as long as it is reasonably needed for the purpose it was collected or to meet legal, insurance, accounting or tax requirements.
My usual retention periods are:
- general enquiries that do not become clients: up to two years after the last contact
- client agreements, forms, communications and coaching records: up to seven years after the service ends
- sensitive coaching information: reviewed regularly and deleted when it is no longer needed, subject to legal, insurance or safeguarding requirements
- invoices, payment records and tax information: at least six years after the end of the relevant financial year or longer when legally required
- marketing information: until you unsubscribe, withdraw consent or the information is no longer needed
- unsubscribe records: kept as a minimal suppression record so your request can be respected
- recordings: deleted when they are no longer needed for the agreed purpose
- unsuccessful booking or application information: normally up to two years
- complaints and data protection requests: normally up to six years after the matter is closed
I may keep information for longer where there is a legal dispute, insurance requirement, safeguarding concern or another clear legal reason.
How I protect your information
I take reasonable steps to protect personal information from loss, misuse, unauthorised access, alteration or disclosure.
These steps may include:
- password protected accounts
- two step verification where available
- limiting access to people who genuinely need it
- giving virtual assistants access only to the systems and information needed for their agreed work
- requiring virtual assistants and other people working with me to keep personal information confidential
- removing or changing access when someone no longer needs it or stops working with me
- using reputable service providers
- keeping devices and software updated
- secure storage and appropriate deletion
- reviewing the information I hold
- avoiding the collection of information I do not need
No online service can guarantee complete security. Please take care when choosing what to share by email, social media, WhatsApp or other online systems.
Children’s information
My services are intended for people aged 18 and over unless a service clearly states otherwise and suitable arrangements have been made.
I do not knowingly collect personal information directly from children through my general website, marketing, coaching, courses or communities.
If you believe a child has provided personal information without appropriate permission, please contact me.
Reviews and testimonials
I will ask for permission before publishing a review or testimonial in a way that identifies you.
You can tell me whether I may use your full name, first name, business name, photograph or other identifying details.
You can withdraw permission for future use by contacting me. I will take reasonable steps to remove the testimonial from places I control. I may not be able to remove copies already shared, printed or stored by other people or platforms.
Social media, podcasts and external links
My website and communications may link to social media, podcast platforms and other websites.
When you use services such as Meta, TikTok, YouTube, Spotify or Apple Podcasts, those organisations may collect and use information under their own privacy policies.
I’m not responsible for the privacy practices of websites, services or accounts that I do not control.
Cookies and website information
My website may use cookies and similar technologies to make the website work, remember choices, understand website use, improve performance or support marketing.
Where required, you will be asked to choose whether non-essential cookies may be used.
More detailed information should be provided through the website’s cookie notice or cookie settings.
Your data protection rights
Depending on the circumstances, you may have the right to:
- ask what personal information I hold about you
- ask for a copy of your information
- ask me to correct inaccurate or incomplete information
- ask me to delete information

There is normally no charge. A reasonable fee may be charged or a request may be refused where the law permits this because it is clearly unfounded or excessive.

You can complain if you are unhappy about how I have collected, used, stored, shared or protected your personal information or how I have handled a request about your rights.

I may update this privacy policy when my services, systems, providers or legal responsibilities change.
The latest version will be published on my website with the date it was last updated. Where a change significantly affects how I use your information, I will take reasonable steps to tell you.
